Before Implementation
Identify Project Team
Before implementation begins, it is important to identify the core project team that will ensure product continuity.
Deliverables
During your implementation, our team will be building out forms for you with the five hours of form creation time available. Please have the list of forms you would like us to create for you, the logo (512 by 512 pixels), and the banner image ready to turn in. If you’d like us to create multiple forms, please let us know the priority order.
Payments
If you would like to create forms that accept payments, you will need to be set up with one of our supported gateway providers. The Integrated Gateways article contains a list of the different gateways the CivicPlus connector works with. If you would like more information about CardPointe, CSG Forte, or Global Payments Integrated, please let your Account Manager or Implementation Consultant know and they can request for them to contact you with more information.
Power Automate (Optional Add-On)
If you purchased the Microsoft Office Power Automate integration, verify if you have Power Automate’s premium license. Most often service plans will come with access to the standard Power Automate connectors, but the access to use premium connectors will require an additional license. The license is $15 per user, per month. More details can be found on Microsoft’s website: Power Automate Pricing.
During Implementation
Training Overview
During implementation, we will do a series of trainings. Each training session will be recorded using Zoom. Please be sure to download the recordings as recordings expire after 30 days.
- Administrator Training: This is the first training introducing the account. This covers setting up team members, roles for the team members, and setting up retention policies for the forms. This is scheduled for 1 hour.
- Forms Building Training: This is the second training where we go through the different element types and show you how to create a form. In this training, we typically pick one of your very simple forms to walk through. This training also covers how to add an Email + PDF workflow event to send a sort of confirmation email to the form submitter. We also review the submissions. This is scheduled for 1.5 hours.
- Additional Modules Training (Optional Add-Ons): This is where we'll go through the Progressive Web Apps, Approvals, Data Viewer/Manager, and Calendar Bookings if you have those modules. This is scheduled for 1 hour.
- Power Automate Introduction (Optional Add-On): If you have the Power Automate connector, we have a brief demo of some things you can do with Power Automate and will show you how they can make the connection with Process Automation. This is scheduled for 1 hour.
- Training Q&A: After all of the trainings are completed, we schedule a Training Q&A so we can address any questions or help work on some forms. This is scheduled for 1 hour.
After Implementation
After you complete your implementation with your Implementation Consultant (IC), your IC will send a launch email with information for your Account Manager, Customer Success Manager, and Technical Support. If you have annual professional services hours, your IC will also send along information on how to schedule those hours.
